PLATFORM
APIP and the platform
- Do we need to replace our existing systems?
- No. APIP sits alongside what you already run and connects to it. Most clients start with one process area and expand from there.
- How long does a first deployment take?
- A first process area is usually live within weeks, not quarters. You upload or connect event data, APIP maps the process automatically, and you configure the governance rules in the app.
- What data does APIP need to get started?
- As little as three columns: a case reference, an activity name and a timestamp. Optional fields such as resource, department, region, cost, outcome or source system make the analysis richer.
- What can we see inside the workspace?
- Process discovery and the designer, data, governance rules, the policy library, analytics, automations, reports, ITIL and COBIT guidance, learning and billing — all scoped to your own workspace.
GOVERNANCE
Governance and compliance
- What does automated governance actually mean?
- Controls run against the work as it happens instead of being sampled months later. Rules cover SLA breaches, required activities, segregation of duties, cost thresholds and rework limits, and every breach is recorded with the case that caused it.
- Will this produce evidence our auditors accept?
- Yes. Every case carries its own trail — what happened, when, who was involved and which controls passed or failed — so an audit becomes a review of records that already exist rather than a retrospective hunt.
- Which frameworks does APIP support?
- The platform includes ITIL and COBIT guidance, and the policy library holds your own policies, standards, risks and control owners with review dates and risk scoring.
- How are risks scored?
- Likelihood multiplied by impact. A score of 16 or more is critical, 9 or more is high, 4 or more is medium, and anything below that is low.
- Can we bring our existing policy set?
- Yes. Policies, standards, risks and owners are registers you populate, each with a reference, category, status and review due date, so your current control framework stays intact.
AI ASSURANCE
AI and assurance
- How is AI used, and is it safe?
- AI produces confidence-rated suggestions that a person reviews before anything is applied. Nothing changes a control, a policy or a process on the strength of a model alone.
- Is there a human in the loop?
- Always. Insights, drafted rules and recommendations are held for human review, and the decision is recorded alongside the suggestion that prompted it.
- How do we assure the AI itself?
- The same way as any other control: the suggestion, the reviewer, the decision and the outcome are all logged, so you can show a regulator how an AI-assisted decision was reached.
- What is HELIX?
- HELIX is the AGS assistant. It answers questions about the platform, governance content and the published guides, and can pass an enquiry to the team. Its answers are general information, not professional advice.
COMMERCIAL
Pricing, plans and support
- How is APIP priced?
- By plan, monthly or yearly, with limits on processes, users and cases per month. Full plan prices and inclusions are on the pricing page.
- Do we need specialists to run it?
- No. APIP is self-serve software: your own team imports process data, builds rules and reviews AI suggestions in the app, with guided demos and written guides for each module.
- What support levels are available?
- Platform support is offered at Standard, Enhanced and Critical levels, differing in response time and hours of cover for issues with the software itself. The comparison is on the pricing page. Support covers the product; it does not include consulting, advisory or implementation services.
- Do you offer refunds?
- Our refund position is set out in full on the refunds page.
DATA
Data, security and access
- Who owns the data?
- You do. Your data stays yours, each workspace is isolated from every other, and you can export what you put in.
- How is access controlled?
- Access requests are reviewed before anyone is admitted. Approved members are given a role in their own workspace, and access policies can auto-approve, route for review or block by domain or address.
- How do we request access to the apps?
- Use the contact form and choose the App access enquiry type, or ask HELIX. An AGS administrator approves the request before any invitation is sent.
- Is the site accessible?
- We work to WCAG 2.1 Level AA. The accessibility page explains our conformance position and how to raise an issue.
