Please include your full name and contact details, a clear description of your concern, any relevant dates, reference numbers or documents, and what you would like us to do to resolve the matter.

Step 2: We acknowledge your complaint

Send you a written acknowledgement within 5 working days.

Provide you with a reference number for your complaint.

Let you know who is handling your case and their contact details.

Step 3: We investigate

We take all complaints seriously. Our Data Protection Officer will review all relevant data and processing activities, consult with the appropriate internal teams, and assess your complaint against our obligations under UK GDPR and the Data Protection Act 2018.

Step 4: We respond

We aim to provide a full written response within 30 days of receiving your complaint. In more complex cases, we may need up to 3 months, but we will always keep you informed of our progress.

Our response will clearly explain our findings, tell you what action we have taken or will take, and let you know your right to escalate if you remain unsatisfied.

If you're not happy with how we've handled your complaint, or if we've failed to respond within the timeframes above, you have the right to complain directly to the UK's data protection regulator, the Information Commissioner's Office (ICO).
